Frequently Asked Questions
What are the application deadlines?
Starting in 2024, there will be two deadlines/review periods for applications throughout the year.
- The first deadline (Winter) is to cover travel from January 1st to June 30th.
- The second deadline (Spring) is to cover travel from June 20th to December 31st.
How do I fill in and submit the application form?
- Download and save the application form to your computer.
- After filling out the form (requires Acrobat Reader) attach or insert the additional requested materials - full abstract as submitted to the conference organizers, and acceptance letter / confirmation of abstract submission.
- Electronically sign the application, and save the pdf with the following naming protocol:
“FirstName LastName_LW_mm-dd-yy.pdf". - Send the application to your faculty advisor as an email attachment for their approval; it will then be sent on to your department head for approval and signature.
- Your department will submit your application (with signatures) to ARD. Do not send your application to ARD directly; it must be submitted by your department.
- A confirmation email will be sent to your department upon receipt of the application.
What if I was previously awarded the L/W?
Students may only receive one Larrick / Whitmore travel grant per degree program. If you received it while working for your MS degree, you may receive once again while in the PhD program
What if I haven’t been confirmed as a presenter before the application deadline?
If you have not yet received your confirmation letter, then you must attach the “proof of submission” that you would have received from the meeting’s organizers after you submitted the abstract.
If you are awarded the grant and are not accepted to present or do not attend the conference, the grant will not be applied.
If I have more than one abstract accepted at a conference, do I need to fill out separate applications?
No, you only submit one application and attach both accepted abstracts.
If I am awarded the L/W and unable to attend the conference, what shall I do?
Contact the ARD office at ard@unl.edu.
If I can’t attend the conference, may the funds be used for something else?
No. The funds are awarded for a specific conference and may only be used for travel expenses for that meeting.
If I am awarded but couldn’t attend the conference, may I use the funds to present at another meeting?
Contact ard@unl.edu, these cases are evaluated on a case by case basis.
If I have received funding from another travel competition, am I eligible for Larrick travel funds?
Yes, you can apply for the Larrick travel funds program even if it is for the same conference, but you must meet the eligibility requirements to be considered for funding
How can the funds be applied for virtual conferences or where travel is unavailable due to restrictions?
The funds may be applied to registration fees for virtual conferences.
What happens if a conference is cancelled?
Contact ard@unl.edu, these cases are evaluated on a case by case basis.
How do I work with Concur in making my travel arrangements?
Visit https://travel.unl.edu/ for information and contact your business office for help.
How soon after the application deadline will we be informed if we received the award??
Generally, it will take four to six weeks after the deadline for the announcements to be made.
Who is the point of contact for problems or questions regarding the Larrick?
If you have questions on how to fill out the form, you may contact ard@unl.edu. If you require help in sending the form itself, please contact your department administration.
What files need to be added to the application?
You will need to include your full abstract as submitted to the conference organizers, and your confirmation to present. (If you have not yet been confirmed as a presenter, then you must include your submission confirmation instead).
What format should the supporting documents use?
While many types of files can be attached to the form, .pdf (portable document format) files are preferred.
How do I “sign” my application electronically?
To sign a PDF document or form, you can type, draw, or insert an image of your handwritten signature. Please go here.

Do I have to have my pre-travel authorization before submitting the application?
No, you can submit the application without the pre-travel authorization, you don’t need it to apply for these funds.
However, you cannot travel without an approved authorization from your department/unit (submitted through Concur).
