David H. and Annie E. Larrick Graduate Student Travel Award FAQ

There are three deadlines/review periods for applications throughout the year but students may apply for a Larrick Travel Award up to a year in advance.
For example, if a student is going to present at a conference in February 2023 they can submit their application for that conference any time after February 2022.

  • The first deadline (January) is to cover travel from February 1st to May 31st.
  • The second deadline (April) is to cover travel from June 1st to September 30th.
  • The third deadline (September) is to cover travel from October 1st to January 31st.

  • Download and save the application form to your computer.
  • After filling out the form (requires Acrobat Reader) attach or insert the additional requested materials - full abstract as submitted to the conference organizers, and acceptance letter / confirmation of abstract submission.
  • Electronically sign the application, and save the pdf with the following naming protocol:
    “FirstName LastName_LW_mm-dd-yy.pdf".
  • Send the application to your faculty advisor as an email attachment for their approval; it will then be sent on to your department head for approval and signature.
  • Your department will submit your application (with signatures) to ARD. Do not send your application to ARD directly; it must be submitted by your department.
  • A confirmation email will be sent to your department upon receipt of the application.

Students may only receive one Larrick / Whitmore travel grant per degree program. If you received it while working for your MS degree, you may receive once again while in the PhD program

If you have not yet received your confirmation letter, then you must attach the “proof of submission” that you would have received from the meeting’s organizers after you submitted the abstract.

If you are awarded the grant and are not accepted to present or do not attend the conference, the grant will not be applied.

Generally, it will take four to six weeks after the deadline for the announcements to be made.

You will need to include your full abstract as submitted to the conference organizers, and your confirmation to present. (If you have not yet been confirmed as a presenter, then you must include your submission confirmation instead).

While many types of files can be attached to the form, pdf (portable document format) files are preferred.

No, you can submit the application without the pre-travel authorization, you don’t need it to apply for these funds.

However, you cannot travel without an approved authorization from your department/unit (submitted through Concur).
